Using Templates in Flows

The Templates feature in Flows makes it easy to get started with automations by offering pre-built workflows you can install and customize. This guide will walk you through what Templates are, how they work, and answer common questions.

What Are Templates?

Templates are ready-to-use Flows created by Knack, organized by connector, and built to solve common automation scenarios—like syncing data between systems or sending notifications.

They’re especially helpful if:

  • You’re new to Flows and want a hands-on example to learn from

  • You need to set up a workflow quickly

  • You want to explore best practices for building multi-step Flows

 


How to Access and Use Templates

1. Open the "Templates" Tab

Navigate to the Flows section in your account and click on the new Templates tab.

There are 2 sub-tabs:

  • 'Templates': Browse available templates by connector.

  • 'My Installations': Displays all templates you’ve already installed


2. Browse Available Templates

Templates are organized by connector. Click into a connector (e.g., Google Sheets, Google Contacts, Knack) to explore the template scenarios.

Each scenario includes:

  • A title and brief description

  • A count of the number of steps involved in that pre-built flow

  • An toggle to include or exclude each pre-built flow (also called a "scenario") from getting installed

Tip: We recommend installing 1 pre-built flow / "scenario" at a time. This makes it easier for setup in latter screens when choosing your Knack app and external systems to populate that pre-built flow. 

Within the Google Drive template, there are 2 pre-built flows you can choose from

 

3. Install a Template

Once you've identified the pre-built flows / "scenarios" you want, toggle OFF the ones you dont want. Then click the Continue button:

  1. Choose your Linked Apps connections to populate the pre-built flow, then click Continue

    1. In this example we needed a linked app connection to "Google Drive", and a linked app connection to my "Coworking Member Portal" app
  2. Once your pre-built flow has successfully installed, its now time to edit the details of it to meet your specific needs

  3. Click on the Gear icon to configure the steps of your flow

  4. Then in your pre-built flow / "scenario", make sure all the yellow-outlined steps are populated with the specific Linked App information you desire
    1. In the example below, I click into Step 3 ("Knack: Create Record"), so that I can then map my fields from earlier steps into it... So I take my "File ID" field from Step 2, and put it into the "Event Image" field on the Events table. 
  5. Now you can click "Start" and your pre-built flow will be running 
  6. Once you trigger your pre-built flow, you can go into the "History" tab of your overall Flows area (or within the 'Flow Log' of that specific pre-built flow) and you can see your activity  

Tip: If you're not seeing any History entries for your pre-built flow, try setting your "Group" filter dropdown is set to "All Groups" so that you can see all activity across all flows in your entire knack account.

Frequently Asked Questions (FAQs)

 

Can I edit a template after I install it? Yes! Templates install as a Flow, but they stay in the dedicated "Templates" section where you can make changes. You can modify any step, change filters, swap apps, or add more logic.

 

Do templates use real data? = Yes, they use the data affiliated to your Linked App that you connect to the Template scenario during your setup... For example, if you use the 'Custom CRM' knack app as your Linked App, and specifically the "Orders" table from that knack app in the Template flow, then it will interact with that table when you run your flow. You can of course have multiple tables from 1 knack app, other knack apps, and other systems (like Hubspot, Google Drive, Slack, etc) involved in each flow. 

 

Are templates available for all connectors? = We’re starting with templates for:

  • Google Sheets

  • Google Drive

  • Google Contacts

  • Knack

  • To request new Templates of connectors, submit them here! = https://product.knack.com/

 

Can I install the same template more than once? = Yes. You can install the same template multiple times, for different apps or use-cases.

 

What’s the best way to learn how the Flow works after installation? = Click into each step and use the ⚙️ (gear icon) to view its configuration. This is a great way to see how multi-step logic works, especially for things like Iterators, Search steps, and Triggers.
