Overview

The Microsoft Outlook connector serves as a powerful integration tool within Flows, enabling users to streamline their email, calendar, and contact-related tasks. It offers a diverse range of triggers and actions designed for managing communications, scheduling, and contact data. In the following sections, we will highlight each available trigger and action associated with the Microsoft Outlook connector.

Triggers

Triggers are events in Outlook that can start your Flow.

  • New Email: Triggers the Flow when a new email arrives in your mailbox.

  • New Calendar Event: Initiates the Flow when a new calendar event is added.

  • Updated Calendar Event: Executes the Flow when an existing calendar event is updated.

  • New Contact: Triggers the Flow when a new contact is created in Outlook.

Note:

  • Triggers work for updates in your connected Outlook account (email, calendar, and contacts).

  • Flows do not trigger from bulk or batch imports of Knack records 

Actions

Actions are tasks that the Flow can perform in Outlook once triggered.

  • Create and Send Email (also referred to as "Send email (Direct Shipping): Creates a new message and sends it immediately in a single step. You can include attachments

  • Create Draft Email: Creates a draft email message, saved in your Outlook drafts folder for later sending. You can include attachments

  • Send Email by Draft ID: Immediately sends an email message to one or more recipients, based on the Draft that you've already created

  • Find Event by ID: Looks up a calendar event using its unique ID.

  • Update Event: Makes changes to an existing calendar event.

  • Create Event: Adds a new event to your Outlook calendar.

  • Find Contact by ID: Retrieves a specific contact using its unique ID.

  • Update Contact: Modifies the details of an existing contact.

  • Create Contact: Adds a new contact to your Outlook account.

  • Custom API Request: If you have API expertise, you can interact with the Outlook API and send custom requests, using the Linked App credentials you configured
